Responsibilities:
- Ensure that phones are answered and calls directed to proper recipient.
- Greet guests, clients, sales people, and staff as they enter the office with a friendly tone.
- Typical secretarial duties such as: daily filing, taking dictations, photo copying, mail, etc.
- Pick up and send paper and packages for mailing; Sign and receive office deliveries.
- Order office supplies when needed; Take an inventory of supplies to ensure there is enough at any time. Provide President with a weekly list of supplies he needs to order.
- Managing of office equipment such as telephones, fax machines, computers, etc.
- Set-up cell phones and email accounts.
- Keep cell phone and extension list up-to-date.
- Ensure that the office is kept clean, tidy and organized.
- Obtaining insurance certificates, WSIB certificates, etc. for various project.
- Assisting with administration projects.
- Set up all official meetings in the board room; Ensure that the boardroom is clean, and snacks and drinks are ready prior to the meeting
- Assist all managers.
Requirements:
- Strong experience working with MS Excel; WORD; OUTLOOK and other Word Processing programs.
- Valid driver’s license with a good driver’s abstract.
- Friendly and courteous personality.
- Neat and professional appearance.
- Knowledge of smart phones.
